Position Overview:
We are seeking a highly organized and detail-oriented Project Coordinator with proven experience supporting complex projects in a fast-paced, tech-focused environment. Ideal candidates will bring prior experience working with or for Dell or similar enterprise technology providers, particularly with project scheduling, order tracking, calendar coordination, and project closeout documentation.
Key Responsibilities:
- Project Scheduling & Coordination:
- Assist in the development, tracking, and updating of project schedules.
- Coordinate internal and external meetings using Calendly/Zoom and calendar platforms (e.g., Outlook).
- Ensure alignment of project scope and project intake.
- Order Management:
- Track orders from initiation through delivery.
- Liaise with vendors, clients, and internal teams to resolve order-related issues or delays.
- Maintain accurate order details and status reports.
- Calendar Maintenance:
- Manage project calendars, schedule recurring check-ins, and send reminders to stakeholders.
- Coordinate executive and team availability across time zones.
- Documentation & Closeout:
- Prepare and compile closeout documentation, including deliverables, sign-offs, and customer surveys.
- Maintain project folders and ensure version control and accessibility of documents.
- Communication & Reporting:
- Serve as a point of contact for project intake, order tracking escalation, and general coordination.
Qualifications:
- 2-5 years of experience in a project coordination or support role, preferably in the IT or enterprise technology sector.
- Experience with Dell product lifecycle, order systems, and vendor coordination is strongly preferred.
- Advanced skills in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
- Strong familiarity with Calendly and Zoom or similar scheduling platforms.
- Excellent written and verbal communication skills.
- Highly organized, detail-oriented, and able to manage multiple tasks simultaneously.
- PST Time Zone
Preferred Skills:
- Knowledge of procurement and logistics workflows within tech companies.
- Familiarity with IT deployment, installation, and closeout procedures.
