Project Manager

Scout Lab | Full Time | Remote

The Role

As Project Manager, you'll oversee project and account management across multiple clients, partnering with strategists, designers, copywriters, and leadership to ensure exceptional work is delivered on time, on budget, and with an outstanding client experience. You'll also provide direct administrative support to Scout Lab's CCO, to whom this role reports.


Responsibilities

Project Management


  • Define project scope, objectives, timelines, milestones, budgets, and deliverables in collaboration with clients and stakeholders.
  • Build and maintain detailed project plans, schedules, and budgets.
  • Allocate team members and resources across strategy, design, copywriting, and development based on skills, capacity, and project needs.
  • Monitor progress, proactively identify risks, and implement solutions to keep work on track, within scope, and within budget.
  • Maintain consistent project management standards, processes, and documentation.


Client & Account Management


  • Serve as the primary point of contact for assigned client accounts.
  • Guide clients through the creative process, managing expectations and ensuring a best-in-class experience.
  • Schedule meetings, send agendas and recaps, and communicate status, milestones, and next steps.
  • Build strong, long-term relationships with client stakeholders, acting as their advocate within the agency.
  • Identify and resolve project or account issues promptly, developing solutions to keep work and communication on track.


Team Leadership & Operations


  • Lead internal project meetings and ensure clear ownership of action items.
  • Coordinate cross-functional teams through influence rather than direct reporting.
  • Communicate priorities, dependencies, and risks across internal teams.
  • Oversee quality control, ensuring all deliverables meet Scout Lab's standards.
  • Support sales handoff, project intake, staffing, and capacity planning.
  • Keep team time tracking current and ensure projects stay on time and on budget.


Executive & Administrative Support: This role will also support the COO in day to day ops as needed.


  • Manage inbox triage and correspondence for the CCO, flagging priorities and drafting responses as needed.
  • Provide day-to-day administrative support, including scheduling and light coordination of the CCO's calendar and travel.
  • Assist with ad hoc administrative tasks that support the CCO's focus on client and creative leadership.


Requirements
  • 5+ years of project management experience, preferably at a creative agency.
  • Experience managing multiple client accounts simultaneously; retainer and rebrand experience a plus.
  • This individual must have an understanding of agency creative work and design language to be successful.
  • Exceptional written and verbal communication skills.
  • Strong organizational, time management, and prioritization abilities.
  • Proven ability to manage cross-functional teams and competing priorities.
  • Experience with project management methodologies and tools.
  • Strong problem-solving, negotiation, and issue-resolution skills.
  • Comfort supporting executive-level administrative needs alongside core PM work.
  • Experience with distributed or remote teams a plus.
  • English required; bilingual Spanish a plus.
  • Fluent in Monday and Figma is a plus
  • Strong use of AI tools or building process with AI is a plus.
