We are looking for a Project Management Coordinator to join our team in a permanent, full time capacity. This role is central to our work with a Dublin based financial partner, where we are helping to clarify their internal processes and decision making structures. You will act as the organizational hub for this engagement, ensuring that every meeting, task, and project milestone is recorded and tracked with precision. This is a fully remote position that requires a high level of organization and a clear, direct approach to communication. About the Role The Project Management Coordinator exists to bridge the gap between high level strategy and the daily tasks that keep a project alive. At Olive Tree, we believe that clear documentation is the foundation of good management. Your job is to make sure that the details do not get lost in the shuffle of busy schedules or complex client needs. Because we work entirely remotely, your ability to maintain a clear digital record is essential to how we remain organized and effective as a firm. You will support our advisors by handling the logistics of project delivery, allowing them to focus on solving client problems while you ensure the path forward is always documented and clear. What You Will Do

  • Draft concise meeting summaries that highlight specific decisions made and identify who is responsible for each next step.
  • Update and maintain project timelines to ensure we are meeting our commitments to our Dublin based financial partner.
  • Coordinate schedules for internal reviews and client workshops across multiple time zones.
  • Organize and maintain the project library so that all documents and notes are updated and easy for the team to find.
  • Follow up with team members to ensure they have the information and resources needed to complete their assigned tasks.
  • Monitor task completion and flag potential delays early so the team can adjust before deadlines are impacted.
  • Assist in preparing regular status reports that provide an honest, plain English view of project progress.
  • Help refine our internal coordination habits to make our remote work even more efficient.

Helpful Background

  • Previous experience in an internship or entry level role where you managed logistics, schedules, or records.
  • Comfort working in a fully remote environment and communicating through written and video channels.
  • Experience coordinating group efforts, whether through university projects, volunteer work, or previous employment.
