Project + Operations Manager

• Ongoing freelance opportunity with no set end date
• Part-time to start, approximately 20–25 hours per week, with potential for growth as the business expands
• Remote-friendly operational leadership role supporting a growing agency environment

About the Role

• Serve as the operational backbone of a growing agency
• Keep internal systems running smoothly, reliably, and efficiently
• Ensure client work is delivered on time and team hours stay aligned to budget
• Create structure so account-facing team members can stay focused on clients and delivery
• Improve workflows, reduce friction, and help the team operate with clarity and consistency

What You’ll Do

• Own and maintain the project management system as the single source of truth
• Ensure tasks are assigned, dated, updated, and moving across multiple client accounts
• Send weekly task digests and run recurring overdue-task reporting
• Identify blockers early and proactively escalate issues before deadlines are impacted
• Build, document, and refine SOPs and recurring workflows
• Launch and maintain monthly task templates across accounts
• Manage onboarding setup for new clients, including project organization and documentation
• Track team capacity, workload, and budget allocation across accounts
• Maintain internal access, login, and operational documentation
• Reinforce communication and process consistency across project management and team collaboration tools

What Success Looks Like

• Projects stay organized, current, and no more than one business day behind reality
• Team members have clear visibility into priorities, deadlines, and blockers
• Operational processes are documented clearly and can be followed without hand-holding
• Budget tracking is accurate and issues are caught before they create downstream problems
• New client setups are complete, organized, and ready by the start date

• Clear, concise communicator who reduces confusion rather than adding to it
• Calm under pressure and able to solve problems without creating unnecessary urgency
• Accountable, dependable, and comfortable owning operational details end to end
• Collaborative but firm when it comes to deadlines, expectations, and process adherence
• Detail-oriented with strong accuracy across systems, documentation, and reporting

Tools / Environment

• Strong experience with Asana or a similar project management platform preferred
• Comfort working in a fast-moving agency or client-service environment
• Experience with team coordination, budget tracking, and process documentation is highly valued
